Run a Monroe County Case Search

A Monroe County case search works best when you match the court to its official system. Magistrate and Circuit matters run on separate statewide tools. Family, municipal, county-recording, and federal cases each follow a different route. A court-assigned case number is the strongest search key; a full party name works too, if you compare results against dates and details you already know. The docket information you find online shows activity and settings, but the responsible clerk is still the place for documents, certified copies, older files, and confirmation when an online record looks thin.

Searching Cases by Name

For a Magistrate case name search, start at MCRSearch. The Judiciary instructions list fields for first name, last name, and case number. A CAPTCHA guards the portal, and results cap at 30 records. Type the full legal spelling when you know it. Then check case location and the other public fields. A broad surname search can hit that ceiling fast.

Circuit cases live in WVPASS, which requires registration. Its FAQ confirms filters for party name, case number, and more. The menus shift with the interface, so rely on what the screen shows rather than guesswork. Family records follow the Circuit and regional Family Court route, with privacy controls applied.

  1. Identify whether the matter belongs to Magistrate or Circuit Court.
  2. Open the matching official portal and complete CAPTCHA or account access.
  3. Enter the last name and first name exactly as known.
  4. Narrow by case number, county, year, or available portal controls.
  5. Compare the court, parties, case details, and newest events.
  6. Ask the clerk to validate the result or supply the needed paper.

Monroe County MCRSearch Gate

MCRSearch is free and covers Magistrate case information statewide. It holds no documents. Before any search, you must clear a verification screen, which is why a saved link or an automated attempt can stall and why your current browser session matters. The official MCRSearch entry screen shows the verification gate and the submit control.

Monroe County case search MCRSearch verification gate

The entry screen only marks the access step. It says nothing about whether a Monroe County case exists or how it ended.

If the result list comes back too broad, stop repeating the same query. Add a first name, switch to the case number, or ask the Magistrate Court Clerk to find the right record from a filing year and other known facts. MCRSearch itself warns that completeness is not guaranteed. So treat any match as a lead, not the official file.

Searching by Case Number

A case number is the best Monroe County case search key. It points to one court file, not to everyone sharing a name. Copy the identifier exactly as it appears on a notice, order, receipt, or an earlier docket result. Keep the punctuation unless the live official portal tells you otherwise.

There is no published generic Circuit civil or criminal format to copy. A made-up example would mislead. Traffic and payment systems do show their own patterns, such as ##-M##X-##### or M##M-##########. But those belong to the Magistrate fines-and-fees lookup, not to Circuit filings.

A transfer or an appeal can split one case across systems. When a Magistrate event shows a transfer, or an appeal lands in Circuit Court, search both. The Circuit stage may carry a new identifier. If you do not know it, give each clerk the original number and the approximate transfer date.

Monroe County Search Boundaries

No single Monroe County case search reaches every court. MCRSearch covers Magistrate information statewide, and WVPASS covers public Circuit cases. The Fifteenth Family Court Circuit serves Monroe and Greenbrier. Its files run through Circuit and Family administration. Alderson, Peterstown, and Union may keep municipal citation records with the towns themselves. The Judiciary court-record access page puts the two main state search routes side by side.

Monroe County case search statewide portal links

That official page helps you pick the right state court system. It merges nothing. Municipal and federal cases sit outside both databases.

A deed, mortgage, release, will, or recorded estate paper belongs to the County Clerk's Online Document Inquiry. That name index is not a lawsuit search. Federal cases run through PACER and the Southern District of West Virginia. There, the clerk will not give docket information by telephone.

What a Case Search Returns

What you get from a Monroe County case search is an index or register view. The official Magistrate sample lists case location, agency, charge, plea, disposition, and disposition magistrate, plus event rows for record number, event type, date and time, room, location, judge, and reason closed. Several of those criminal fields never apply to a civil matter.

Case NumberThe court-assigned identifier used for later searches and clerk requests.
Case LocationThe court or county tied to the record, not necessarily a mailing address.
Parties or AgencyPublic names or the originating agency, depending on case type.
Event TypeA hearing, filing, transfer, or administrative event label.
Date, Time, RoomSetting details that may change through a later entry.
DispositionThe recorded result field, distinct from a charge, plea, or closed event.

The complaint, motion, order, judgment, exhibit, or transcript underneath carries far more detail. The result row shows only a fraction of it. MCRSearch posts no documents at all. WVPASS sells public Circuit documents, but the downloads are not certified. For plain and certified copy routes, see the full Monroe County court records process.

Monroe County WVPASS Limits

WVPASS public Circuit coverage generally begins July 1, 1999. Anything older may need a clerk search. The workflow includes registration, a two-factor code that lasts five minutes, one active session, and a 60-minute timeout. Browsing public case details is free. Documents cost 25 cents per page plus a card processing fee.

Purchases stay in Purchase History for 30 days. Bulk downloads are barred, and WVPASS sends no automatic case notifications. A public case label does not make every paper public; individual documents may still be sealed, private, redacted, or unavailable.

Search result versus proof: A WVPASS result identifies public case activity. Only the clerk can provide a certified copy for formal use.

If the portal stalls, refresh it, sign out and back in, or switch to a current browser, as the FAQ advises. Then call the Circuit Clerk. A technical failure is not proof that no record exists.

Statewide vs County Case Search

Monroe County keeps no separate court-case portal of its own. Two statewide searches carry the load instead, and each covers a different court level. The local clerk contacts still matter. They validate entries and hand over the actual documents. County systems handle other record types.

Want a request in person, by phone, or by mail? Circuit Clerk Daniel Tickle takes them at 304-772-3096 extension 4, PO Box 350, Union, WV 24983. Magistrate Court Clerk Jeanne Gullette is another route. Call 304-772-3321 or write PO Box 4, Union, WV 24983. Whichever clerk you contact, spell out the basics. Name the court, the case number, the names, the date range, and the document you need. Include the copy type, how to reach you, and that you will pay the charges.

Monroe County Clerk Confirmation

For current judges, clerks, court structure, addresses, and phone routes, the Judiciary county page is the place to check. Its official contact map splits out Circuit, Family, and Magistrate offices. Your request then lands with the office that actually holds the Monroe County court file.

Call before visiting the counter. A January 2025 courthouse fire forced temporary office moves and Record Room restrictions. Renovation and security work runs through 2026 in official records. The clerk can confirm which services are back. Mail works well here. Send it once you have a case number and know the exact document.

Monroe County publishes no dedicated court-record request form and no set public-terminal schedule. Ask the clerk about inspection, plain copies, certified copies, delivery, and current charges. Do that before you send payment.

Access and Restricted Cases

A Monroe County case search can come up empty for many reasons. The case may sit in a different court. It may fall outside WVPASS coverage, or the MCRSearch result cap may cut it off. Other causes exist. A different spelling of the name, a municipal or federal case, a filing not yet indexed, a confidential case, a sealed one, or only an older paper file. Remember that "not found" is not the same as "sealed." It proves nothing either way.

West Virginia Code §53-8-17 defines court records broadly for sealing. It also sets out a judicial process for access and restriction. Juvenile records are generally confidential under §§49-5-101 and 49-5-103, with statutory exceptions. Family, protective-order, guardianship, and mental-health papers can hold private or safety-sensitive material. Where a public or redacted version is allowed, ask for that one.

WVPASS separates public from nonpublic cases. But a public label does not promise access to every document. MCRSearch disclaims completeness and points users to the clerk for validation. Never try to bypass a seal. Do not infer private facts from a missing row.

Monroe County Closure Search

The West Virginia Judiciary closure page tracks court operating status. It does not track Monroe County cases or hearings. Its county, status, and date controls do the work. They show whether a court is open, closed, or running on changed hours. Parties, filings, and case settings never appear there.

For that status check, the official court closure search provides the controls.

The closure page tells you whether operations changed. But only the docket or the clerk can confirm the active event on a specific case. Check closure status before you travel. Then call the office handling the matter. A chief judge may order an emergency closure and address deadlines at the same time. A county-government meeting calendar is not a court setting either. Keep three things together: the case notice, the newest docket event, and the clerk's confirmation.
